Billing Policy
Effective as of June 20, 2025
1. Subscription Activation & Charges
By subscribing to any Legalfy Cloud plan, you agree to be charged the base monthly fee immediately upon activation. Each subscription plan includes a non-refundable minimum monthly charge, which is applied in full at the time of signup, even if the platform is not used or the subscription is canceled mid-cycle.
2. Usage-Based Charges
In addition to your base subscription, Legalfy Cloud tracks and bills usage for certain features based on actual consumption. The following examples illustrate some common usage-based charge types:
- OCR (Optical Character Recognition): Charged per page processed
- AI/LLM Token Usage: Billed per 1,000 tokens consumed
- AI-enabled Documents: Each billing period includes 2,000 indexed documents; additional documents are billed at $15 per started block of 1,000
- Additional Seats: Automatically billed when assigned workspace seats exceed your plan’s included seat count
This list is illustrative, not exhaustive. Other usage-based features may apply depending on your activity within the platform. Each overage item is clearly detailed with transparent pricing in your subscription dashboard and appears as a line item on your monthly invoice.
All usage-based charges are billed in arrears and will be reflected on the invoice for the billing period in which the usage occurred.
Please note: Seats added during a billing cycle are billed at the full monthly seat rate and are not prorated. If a seat is removed mid-cycle, no credits or refunds will be issued for the remaining period.
You can monitor your real-time usage and projected charges at any time via your subscription dashboard.
3. Final Billing After Cancelation
Canceling your subscription prevents future charges but does not trigger immediate invoice settlement. A final invoice may be generated following cancelation to reconcile any outstanding usage-based charges incurred before the cancelation took effect.
4. Auto-Renewal & Cancelation Policy
Subscriptions automatically renew at the beginning of each billing cycle unless canceled in advance. Cancelation can be done at any time via your account dashboard and takes effect at the end of the current cycle. Partial refunds are not issued for mid-cycle cancelation.
5. Accepted Payment Methods
Legalfy Cloud accepts major credit cards and digital payments processed securely via Stripe. Invoices are issued electronically and can be paid directly through your account dashboard.
For law firms that require alternative payment methods — including mailed checks, EFT/wire transfers, or internal accounting processes — please contact our billing team to make arrangements. We are happy to accommodate traditional payment workflows upon request.
6. Failed Payments & Suspension
If a payment fails, we will notify you and retry the charge during a 7-day grace period. After multiple failed attempts, your account may be temporarily suspended. Access to platform features and data may be limited until the outstanding balance is resolved.
A late fee of 5% may be applied to any invoice that remains unpaid beyond the grace period. This charge will appear as a separate line item on your next invoice or payment attempt.
7. Taxes
Taxes are applied based on your billing address and provincial regulations. GST/HST is charged where applicable in Canada.
8. Billing Disputes
If you believe a billing error has occurred, you must notify us within 30 days of the invoice date. We will investigate and, if appropriate, issue a correction or refund. Failure to dispute charges within this period constitutes acceptance of the invoice.
